I called and spoke to somebody in the visits department. Here's some more information - first the bad news, then the good:

There is a minimum turnaround time of 2 weeks (once received) once they receive your application form and photo ID. It could take longer. Involves a CPIC check.

Visiting sessions in the assessment unit are in the mornings and afternoons. The morning block is from 8:45 to 11:00pm - one visit can be for the whole time, and can be a small group (say 3) of people - though the booths seat one person at a time only. I didn't get what the afternoon block was, but it's a similar amount of time.

Visits need to be cleared 48 hours in advance. But there is no limit on the number of visits an inmate could have in a given week, subject to requests and approvals of same.

thanks nick, that's great! the only thing still unclear to me anyway is how many people can be part of the visit and how long the visit can be. also unclear, come to think of it, is how many visits he can get a week. apologies if i missed this info.

for everyone, at our meeting this week, joeli, nick and i discussed the fact that the 24th (a monday) is roger's b-day and we'd like to get out there either for that day or maybe earlier in the weekend.

    hi All,

I called the visiting and correspondence phone number at Millhaven
(1-613-351-8137) and copied it all down once and for all (see below)
so that nobody else would waste their time deciphering it.

In short, the first thing you need to do before you can visit Roger
is get 2 photos, fill out the application (link below) and send it
all in to Millhaven. I suggest we make this part of our
    letter-writing party!

The visiting hours aren't bad. It's 2h44m from Ottawa to Millhaven
by car, so any day but Thursday a typical one-day-round-trip could
be to leave leave at 10 am to arrive at 1 pm and leave Bath by 2 pm
to get back to Ottawa by 5 pm.

According to the list of correctional facilities at
    http://www.csc-scc.gc.ca/text/region/nat-fac-dir-eng.shtml#o1, the
    only minimum security institutions are:

      Beaver Creek Institution, in Gravenhurst

        5h14m & 393 km away

        http://www.csc-scc.gc.ca/text/facilit/institutprofiles/beavercreek-eng.shtml

        http://www.insideprison.com/beaver-creek-institution.asp

Frontenac Institution, in Bath, past Kingston

        2h22 & 199 km away

        http://www.csc-scc.gc.ca/text/facilit/institutprofiles/frontenac-eng.shtml

Pittsburgh Institution, in Joyceville, before Kingston

        2h15m & 152 km away

        http://www.csc-scc.gc.ca/text/facilit/institutprofiles/pittsburgh-eng.shtml

We should be agitating for Roger to be moved to Frontenac or
Pittsburgh, I think, though Pittsburgh is physically closer.

I think we can only send letters to Roger while he's at the
Millhaven assessment unit. Once he is transferred to his "home
institution", however, we should be able to send other "items",
though when your in the Millhaven maximum security, it seems you can
only do this in the first 30 days after being transferred there.

    Nick

    #2. Visiting policies and Requirements

If you wish to visit an offender at Millhaven an application must be
submitted and approved. These forms can be downloaded from our
    website at http://www.csc-scc.gc.ca/text/frmlrs/pdf/0653E.pdf . Two
photographs are required to be provided with each application,
including children's. All visitors, including children, will be
required to provide two pieces of identification for each visit. No
items, other than those purchased from our vending machines, are
allowed in the visiting area. We are available to assist with
scheduling visits from Monday to Friday from 8 am to 11 am and 4 pm
    to 8 pm.

#3. If you have inquiries about "30 day admission bags"

Offenders are provided an admission bag list once they arrive at
their home institution. This offers him the opportunity to have
personal items sent in for a period of 30 days following his
admission. He can then send this list to you once it is received.

This is not applicable to offenders residing in the assessment unit.

    #4. To schedule a visit

    Please hold ...
