The bylaws clearly state the following:

Article XII, Section 7.       In the event of an unfilled or vacant Council or Executive position, the Council shall within forty-five (45) calendar days call a by-election through ballots in a general assembly to elect members who satisfy the candidacy criteria as outlined in Article XII, section 6. Members shall be provided notice of the vacant positions at least ten (10) days before the elections.

This must be followed we have enough controversy without giving ourselves more. Anyone who challenges the election will be correct and the election will be invalidated.


Article XVII Section 3.2 The Agenda for the general Assembly is subject to ratification by council and requires two-thirds (2/3) assent of the voting Councillors present.

This can be done by email since we have been unable to meet, but the Agenda needs to be approved by council.

"People couldn't meet" is not a reason to bypass procedure, email is the instant solution to people being unable to meet, we also have most of each other on WhatsApp.

We must follow procedure, its not complex, in fact its critical to provide a fair and open experience to students.


Next Steps:

Please get a motion by email for approval of the Agenda if you would like me to motion it, please send me the Agenda and a draft of your motion and I will.

Pick a different date for the GA and be ready to give Minimum 10 days notice, we should also be aiming for more.

Upon verifying my events portal I see that there are room options for example: There is a 300 seat amphitheater available in the JMSB MB the evening of Friday April 6th at 6pm.

I strongly urge us to hold the GA in the evening. The idea that we are excluding working students is and has been very problematic for years.

Draft a proposal for Nura to Chair the GA, (Assuming Nura you are available and interested)

holding elections in this general assembly which is not in the agenda, and has an entire protocol according to your bylaws (please see Article XIV – Elections

The agenda of the GA didnt change much (except for the by-elections) from the previously drafted one.

And the agenda has already been shared to the council with the date and time and was approved.

So  I as the chair of the GA committee after discussing with the executives didn't think the need of discussing the same agenda again. (as GA committee members were unresponsive to the mails after two attempts)


NOTICE OF GA
Newsletter was sent mid night of 13th (technically 14th), and almost equal to 10 days prior notice. We think that is acceptable.

Website is taken care by President or Vice president external currently

GA was not published on newspaper even previously and we are following the same
